Instructions on the whistleblowing reporting procedure for SOL companies’ employees and partners

At SOL, our goal and way of working is to develop business in an open and ethically sustainable way. Our employees, customers and other partners are our most important source of information. It is important that everyone reports any suspected misconduct or activity that is not in accordance with SOL’s business principles, values or guidelines. This gives us the opportunity to correct, prevent or rectify any inappropriateness or abuse.

We always encourage employees to contact their own supervisor in the first place. Alternatively, you may contact your supervisor’s supervisor or SOL’s management. Through the Whistleblowing reporting channel, we also provide an opportunity to report suspected misconduct confidentially and anonymously.

The whistleblowing channel is an early warning system used by SOL’s employees and partners to reduce the risks to the company. With the help of the tool, we promote compliance with our business principles and maintain the trust of customers and other stakeholders in SOL.

The purpose of these guidelines is to describe how SOL employees and partners can express concerns or suspicions through the Whistleblowing channel about something that violates our business principles, values or guidelines, and which may have serious consequences for SOL, customers, partners or an individual.

When is it necessary to resort to a Whistleblowing report

If a report cannot or is not desired to be made to the primary contact person, it can be submitted through the Whistleblowing channel.

The whistleblower must be convinced of the veracity of the facts of their report and must always act honestly and in good faith. Accusations should not be made with the intention of harming or when known to be unfounded.

Processing of Whistleblowing reports

All reports are handled carefully and confidentially by the authorized and trained persons of SOL’s Aurinkovoimala and SOL’s legal unit.

If necessary, authorized persons may request additional information from the whistleblower or confidentially from other persons while protecting the whistleblower’s identity. Persons affected by or associated with suspicions will not be informed of the reports made. None of the investigators may attempt to establish the identity of the person making the report in any way.

If the report is made anonymously and the whistleblower does not respond to requests for additional information sent via the Whistleblowing channel, the investigation of the case may become difficult or entirely impossible.

Protection of the whistleblower 

The identity of the whistleblower will be kept secret throughout the process and will not be disclosed to the person named in the report or to any other person.

No retaliatory or retributive measures will ever be taken against the whistleblower.

Data protection

The information collected in the notification will be treated confidentially and will be subject to SOL’s internal guidelines and relevant data protection legislation.

The personal data in the register is kept confidential. SOL retains the data for as long as it is needed for the purpose for which it was collected and processed, or for as long as required by law and statutory data retention requirements.
